Client portal

A client portal that brings the documents in

Ask each client for exactly what you need, as a list they can finish on their phone. Share returns and statements for their approval. Keep documents out of email.

Request lists clients can finish

A request is a list of what you need: each item is one thing, with a word on what you mean.

  • Documents: the client uploads the files and sends them.
  • Information: an answer as text, yes or no, a date, a number or a dollar amount.
  • General: something to do or tell you, marked done with a note or files.

Clients do a bit at a time: each item is saved as they finish it. You see each one come in, then Accept it, or Send back what's missing with a note. The request is complete once every item is.

A request list at a made-up firm: T4 and T5 slips sent by the client and waiting for review, childcare expenses accepted, RRSP receipts still to come.

Made for your clients' phones

Your clients sign in to a portal with your logo and colour. It opens on what you need from them, with one big button to send documents. On a phone, the camera takes a picture of a slip and sends it.

  • One login for everything a person sees at your firm: their own return, their spouse's, their company's.
  • After the password, a code emailed to them. A browser they trust skips it for 30 days.
  • One email a day with everything new, for clients who'd rather that than one per document.
  • Nothing to install: it works in the phone's browser.
The portal's overview on a phone, for a made-up client: a box to send documents, then What we need from you, with a request two of five done.

Send the same list to many clients

Keep the lists you send every year as templates. Firmdesk starts you with three: a T1 checklist, a year-end list and new client onboarding. Change them, or make your own.

Many clients at once

Pick a template and the clients with its service are listed, each with who gets the email. A client with the same request open starts unticked.

Reminders that stop on their own

Turn reminders on for a client and Firmdesk emails them before a request's date, then at the interval you choose, until the request is complete: every item accepted, marked done or not needed. Each answer or file they send starts the count again.

Before instalments and balances

The same reminders can go before a client's instalments and balances are due, with the amount, from templates your firm writes. You can check each one before it goes.

Documents, shared on purpose

Firm only, or shared

Upload by year, service and kind. Keep a working paper for the firm, or share the return. Only what you share is seen.

Approval

Ask the client to approve a return or statements. They press Approve, or Request changes and say what.

Who opened it

Each shared document shows who at the client opened it and when. What they send you is marked new until someone opens it.

Never attached to an email

Emails say there's something new; the documents stay in the portal, behind the client's sign-in. They're on servers in Québec, with encrypted backups that may be stored outside Canada (where your data is).

You decide what clients see

Turn the portal's deadlines, invoices and team pages on or off, choose whether clients can upload, write the welcome message, and keep sharing to your reviewers if you like.

The portal's emails go out with your firm's name, and replies come back to you. Each one is listed under Emails sent.

A client's to-dos on a phone: the tax return request with its items, the slips sent and waiting for the firm's review, and an answer the firm accepted.

See your own clients' deadlines in Firmdesk

Import your client list, tick their services, and the deadlines are there. Or book 20 minutes and we'll show you around the demo firm.
